The Town of Huntsville is seeking an experienced and highly skilled Executive Assistant to support the Office of the Mayor and the Chief Administrative Officer (CAO). Reporting directly to the Mayor and Chief Administrative Officer, the Executive Assistant provides confidential executive, administrative, governance and strategic coordination support to the Mayor, Council and CAO and serves as a central liaison among elected officials, municipal staff, government agencies, community organizations, stakeholders and the public. Responsibilities include coordinating complex schedules and meetings, preparing executive correspondence and briefing materials, tracking issues and action items, managing information flow, coordinating events and protocol activities, conducting research, and supporting effective communication between the Office of the Mayor, Council and Administration.
The Executive Assistant plays a pivotal role in ensuring the efficient operation of the Mayor's Office and the CAO's Office while exercising a high degree of discretion, political acuity, diplomacy, sound judgment and confidentiality in a fast-paced municipal environment.
Key responsibilities include providing confidential executive and administrative support to the Mayor, Council and CAO include managing complex calendars, meetings, events, travel arrangements and competing priorities, preparing agendas, briefing materials, correspondence, reports and executive presentations, coordinating meetings involving Council members, senior leadership, government representatives and community stakeholders, tracking constituent matters, correspondence, emerging issues, commitments and follow-up actions, conducting research and preparing summaries to support executive decision-making, serving as a primary point of contact for residents, businesses, community organizations, government agencies and partner organizations.
Qualifications
The ideal candidate will possess:
- A post-secondary diploma or degree in Office Administration, Business Administration, Public Administration, Communications, Political Science, or a related field, or an equivalent combination of education and experience.
- A minimum of five (5) years of progressively responsible executive or senior administrative experience, preferably within a municipal, public sector, governance or politically sensitive environment.
- Demonstrated experience supporting senior executives and/or elected officials in a complex and fast-paced organization.
- Advanced proficiency with Microsoft 365 applications and experience using electronic records management, digital workflows and meeting management systems.
- Strong knowledge of municipal government structures, Council-administration relationships, records management practices, privacy legislation and customer service principles.
- Exceptional written communication, editing, proofreading, research, organizational and time-management skills.
- Strong interpersonal skills with the ability to build positive relationships with elected officials, staff, stakeholders and members of the public.
- Demonstrated ability to manage multiple priorities, anticipate needs, work independently and remain composed under pressure.
- The highest standards of professionalism, integrity, discretion and confidentiality.
- Strong political acuity and the ability to maintain neutrality while working within a governance environment.
- The flexibility to attend evening meetings, community events and occasional travel as required.
- A valid Ontario Class G Driver's Licence and access to reliable transportation.
This position requires a highly organized, proactive and adaptable professional who can effectively navigate competing priorities while maintaining professionalism, confidentiality and exceptional service standards.
The salary range for this position is $79,625.00 to $87,796.80. The salary is based on a 35 hour work week and includes an attractive benefit package.
